# Outbound Voice: When Latchel's AI Calls You

> If you work with Property Managers who use Latchel, you may start getting phone calls from Latchel's AI voice assistant instead of (or in addition to) texts and emails. This guide walks you through what those calls are, why you're getting them, and how to make the most of them.

### **What is Outbound Voice?**

You already get texts, emails, and portal notifications from Latchel about your jobs. Now you might get a **phone call** too — and it won't be a person on the other end, it'll be Latchel's AI voice assistant, calling on behalf of the Property Manager (PM) you're working with.

Here's the good news: this isn't extra work for you. These calls exist to make your life **easier**, not harder. Instead of a PM's team playing phone tag with you to ask "did you make it out there yet?" or "when's the invoice coming?", Latchel's AI now handles that check-in call directly with you — and it can actually get things done on the spot, like locking in a new appointment time or confirming a job is finished.

  **The short version:** Answer the call like you would any other call about your work orders. The AI already knows which job it's calling about, so you can just talk it through like you would with a normal dispatcher.

### **What These Calls Sound Like**

You may hear something like:

> *"Hi, this is Latchel's virtual assistant calling on a recorded line for work order updates. Do you have time now?"*

From there, the AI will ask about a specific job — for example, confirming whether you made it out to an appointment, or seeing if you need to reschedule. If you tell it you need a different time, it'll offer you real available windows and lock in the new appointment right there on the call, just like you'd do in your Latchel portal.

  These calls are recorded, and the assistant will tell you that up front. A full transcript and summary of the call gets saved back to the relevant work order, so there's a clear record of what was discussed and agreed to.

**There are two ways these calls happen:**

### **What the AI Can Actually Do For You**

This isn't just a voice reading you a script — it can take the same actions you'd normally take yourself in your Latchel portal, right there on the phone:

* Confirm whether you made it out to a scheduled appointment
* Reschedule a visit to a new date and time
* Check on the status of an invoice
* Give you a quick rundown of everything else you have open for that day, so you're not caught off guard by a second job that's also due

### Steps to Set Your Call Preferences

You don't need to sign up for anything to start receiving these calls — if a PM you work with has it turned on, you'll simply start getting calls when there's something to discuss. But you do have control over **when** those calls happen:

  If a lot of your jobs come from Latchel-managed properties, setting a preferred call time (say, right after your lunch break) means you can expect calls at a predictable time each day instead of getting caught off guard.

### Requirements & Eligibility

  There's nothing to sign up for on your end. If a Property Manager you work with has Outbound Voice turned on, you'll simply start receiving calls from Latchel's AI when there's a job update to discuss. No app download, no new login, no cost to you.

<Note>
  Whether you get these calls depends on your PM's account, not your own service provider settings. If you haven't gotten one of these calls yet, it just means the PMs you work with haven't turned it on — or there's nothing new for the AI to check in about.

### **Frequently Asked Questions**

    No — it's Latchel's AI voice assistant. It sounds conversational and can hold a real back-and-forth with you, but it's automated. If you ever need to reach an actual person, you can still contact the PM's team directly the way you always have.
