# Notification Preferences

> One screen, total control — choose exactly what Latchel notifies you about, and whether that shows up by email, text, or in-app.

Tired of getting an email for every single work order update, or missing something important because it only showed up in-app? **Notification Preferences** puts you in the driver's seat.

From one screen in your Account Settings, you can decide — category by category, or notification by notification — whether you hear about something by **Email**, **SMS**, **In-App**, any combination of the three, or not at all. No more all-or-nothing notification settings, and no more digging through menus to find the one toggle you need.

<Check>
  This replaces the old, more limited notification controls. If you've ever wished you could get SMS for emergencies but skip the email for routine updates, this is exactly built for that.
</Check>

### **How It's Organized**

Your notifications are grouped into five categories, each with its own count of individual notification types inside:

<CardGroup cols={2}>
  <Card title="Work Orders" icon="clipboard-list" iconType="duotone">
    16 notifications covering the full work order lifecycle — scheduling, troubleshooting, completion, and more.
  </Card>

  <Card title="Payments & Invoices" icon="money-check-dollar" iconType="duotone">
    5 notifications for invoice and payment activity that may need your attention.
  </Card>

  <Card title="Tasks" icon="diagram-subtask" iconType="duotone">
    4 notifications covering task assignments and daily task summaries.
  </Card>

  <Card title="Account & Portfolio" icon="chart-mixed" iconType="duotone">
    1 notification for account-level and portfolio metrics.
  </Card>
</CardGroup>

<Card title="Admin Messages" icon="megaphone" iconType="duotone" horizontal>
  1 notification for messages sent directly from the Latchel team.
</Card>

Each category — and each individual notification inside it — has its own Email, SMS, and In-App checkboxes, so you're never stuck choosing one channel for everything.

<Note>
  Some individual notifications don't support every channel (for example, a few Work Order notifications don't offer SMS). If a checkbox looks grayed out, that channel simply isn't available for that specific notification.
</Note>

### **Steps to Activate**

<Steps>
  <Step title="Go to Account Settings" icon="1" iconType="sharp-solid" stepNumber={1} titleSize="h4">
    Click your initials or profile picture in the upper right corner of your dashboard, then select **Account Settings**.
  </Step>

  <Step title="Open the Notifications tab" icon="2" iconType="sharp-solid" stepNumber={2} titleSize="h4">
    Click the **Notifications** tab, then select **Notification Preferences**.
  </Step>

  <Step title="Toggle a whole category, or fine-tune it" icon="3" iconType="sharp-solid" stepNumber={3} titleSize="h4">
    Check or uncheck Email, SMS, or In-App next to a category name to set it for everything inside that category at once. Or, click the arrow next to the category to expand it and adjust individual notifications one by one.
  </Step>

  <Step title="Save your changes" icon="4" iconType="sharp-solid" stepNumber={4} titleSize="h4">
    Once you're happy with your settings, click **Save** at the top of the page.
  </Step>
</Steps>

<Warning>
  Changing a setting at the category level resets all the individual notifications inside it to match. If you've fine-tuned specific notifications within a category, toggling the category checkbox will overwrite those individual choices.
</Warning>

<Note>
  This screen currently manages notification categories broadly. Fine-grained control over individual **Task** notifications specifically is on the roadmap as a near-term follow-up — for now, Task notification settings are managed at the category level shown here.

## Frequently Asked Questions

<AccordionGroup>
  <Accordion title="What's the difference between toggling a category and expanding it?">
    Toggling the Email, SMS, or In-App checkbox next to a category name turns that channel on or off for every notification inside the category at once. Expanding the category (using the arrow) lets you set each individual notification's channels separately for more precise control.
  </Accordion>

  <Accordion title="Why is the SMS checkbox grayed out for some notifications?">
    Not every notification type supports every channel. If SMS (or another channel) is grayed out for a specific notification, that channel simply isn't offered for it — it's not something you're missing a setting for.
  </Accordion>

  <Accordion title="If I change a category-level setting, does it affect notifications I already customized inside it?">
    Yes. Category-level changes reset the individual notifications inside that category to match the new category setting, so any one-off customizations you made will be overwritten. Fine-tune individual notifications after adjusting the category level, not before.
  </Accordion>

  <Accordion title="Can I turn off notifications completely for a category?">
    Yes. Uncheck Email, SMS, and In-App for a category (or an individual notification) to stop receiving it through any channel.
  </Accordion>

  <Accordion title="Does this affect notifications for my whole team, or just me?">
    This page manages your own personal notification preferences only. Each user on your team sets their own preferences from their own Account Settings.
  </Accordion>

  <Accordion title="Where do Task notifications fit into this?">
    Task assignments and daily task summaries are grouped under the Tasks category on this page. More granular, per-notification control specifically for Tasks is planned as a follow-up enhancement.
  </Accordion>

  <Accordion title="I don't see a save confirmation — did my changes apply?">
    Make sure to click **Save** at the top of the page after making changes. If you navigate away without saving, your changes won't be kept.
  </Accordion>
