This guide provides the steps for exporting property and resident reports from your property management software with the necessary property reference IDs and tenant user IDs, which are required for accurate data mapping and successful migration into Latchel.
If you are using the Appfolio along with Latchel Chrome Plugin Extension, follow these steps on how you can export your property and tenant directory from Appfolio.
First, login to your property management software. Go to Reports, scroll to Tenant Reports, then click Tenant Directory.
Alternatively, you can simply search “Tenant Directory” using the search bar at the top of the page.
In the Customize Report window, set Tenant Status and Tenant Type to All, and make sure to show Active tenants only. Then, click Update.
On the right side of the page, uncheck all options first. Then manually select the following. Make sure that the rows are not grouped under any category or information.

Property City
Property State
Property Zip
First Name
Last Name
Phone Numbers
Emails
Property ID
Unit ID
Tenant ID
Status (optional)
Next, click Action at the upper-right corner of the page, then choose Export as CSV or Export as Excel. Save the file to your computer when prompted.
Finally, attach the file to email and send it to Latchel.
Reference IDs for residents and properties must be downloaded separately. Please follow the steps below to export each one.A. ResidentsGo to Reports. If you have existing report folders for Contacts, expand Contact Reports. Otherwise you can click New Report to create report for Contacts. Then click View Report.
Expand Contact: Summary. Make sure the Entity ID is selected. Also, check the boxes of the following:
Full Name
Email
Mobile #
Address
Address Cont.
City
State
Zip
Entity ID are your tenant’s reference IDs which Latchel uses to identify tenants within the integration.
Click Export/Print then select MS Excel. Save it to your compute as prompted.
B. PropertiesGo to Reports. If you have existing Property Reports within your report folders, expand it then select Units. Otherwise, click New Report at the top to create new report for Units.
Expand Building Summary, and make sure to check Building Entity IDonly within this section.
The Building Entity ID serves as the property reference ID for integration with Latchel. The Unit Entity ID identifies the unit address for multi-unit properties.
Next, expand Unit Summary. Then, check only the following:
Unit Entity ID
Unit Address
Unit Address Cont.
Unit City
Unit State
Unit Zip
Finally, click Export/Print, select MS Excel, and save the file to your computer when prompted.
Exporting property and resident reports from Rent Manager is a simple two-step process: first, set up the report type, then export the report using that setup.Creating the Report Type
If this type of report with the necessary fields has not yet been created in your Rent Manager, follow these steps. If you have already created a Unit Export with reference IDs, you can skip this and directly download the Unit Export from your Report Writer.
Log in to your Rent Manager dashboard. Navigate to Reports, expand Report Writer, and then select Report Writer Manager.
From the dropdown list under Report Writer Manager, select Unit.
In the new list on the left, click Unit Export, then select the Edit button at the top.
Remove all formulas displayed under Report Columns by clicking the icon on each row. These columns are unnecessary for the Latchel integration.
In the Insertable Fields section, expand Units, then expand Addresses. Double click the following to add the fields:
Street 1
Street 2
City
State
Postal Code
Notice that each field adds to the Report Columns as you double click them.
In the same Unit fields, scroll down to locate the Unit ID, then double-click it as well.
Next, expand Property, then scroll to Property ID. Double-click it to add it to the report columns.
Now, add the tenants details. Expand Tenants, then locate and double-click the following fields to add them:
Full Name
Number
Email
Contact ID
Expand User Defined Fields to find Full Name, Contact ID, and Email. The Number field can be found under Phone Numbers.The Contact ID serves as the Reference User ID that Latchel uses to identify residents in the integration.
**Rename **the report, then click Save.
This does not export your report yet. Continue with the steps below to export the new report type you just created.Exporting the Reference ID ReportIn the Reports tab, expand Report Writer > Units, then select the report you created for reference IDs.
In the Report Options window that appears, check the top box to include all properties. Also, select Inactive Properties, then click View Report.
Once the generated report appears on your screen, click either Export to Excel or Export to CSV.
Finally, click Export then save on your computer once prompted.
You can also send the report directly to Latchel by selecting Send As Email!
